Einstein Next Best Actions Overview

The Einstein Next Best Actions (NBA) in the Matter Management application helps legal professionals stay on top of critical tasks, deadlines, and administrative needs. It brings the power of Salesforce's Einstein Next Best Action framework to your legal matters, surfacing intelligent, context-sensitive recommendations directly within the Matter record page.

This feature ensures that important tasks don’t fall through the cracks by proactively guiding users on what to do next — whether it’s following up on completing key data fields, or sending reminders to clients and team members, etc.

Next Best Actions are dynamic recommendations that appear on your matter record page when specific conditions are met. Matter Management includes pre-defined recommendations that fit well with the workflow and legal best practices of most firms. The recommendations are not static checklists — they are context-aware suggestions driven by performing real-time data analysis on your records.

What Actions Are Performed Within Provided Recommendations?

Each recommendation displayed through the Einstein NBA component supports two choices: a recommendation provided Accept option (e.g., "Send Email", "Run Conflict Check", "Create Activity Plan") and a standard Reject option.
 

  • Accept option: The Accept button label is predefined as part of each packaged recommendation from AdvoLogix. It reflects the intended action—such as "Send Email", "Run Conflict Check", or "Log Time"—based on the recommendation logic in the flow. When clicked, AdvoLogix carries out the corresponding action automatically, such as sending an email, posting to Chatter, or initiating a flow.
     
  • Reject option: When a user clicks "Reject," a dialog appears asking whether they want to prevent this recommendation from showing again. If the user checks the box labeled "Do Not Show This Recommendation Again", AdvoLogix will no longer display that specific recommendation to the same user for any matter. If the box is left unchecked, the recommendation is only dismissed temporarily and may reappear later. 
    (This persistent dismissal functionality is implemented by AdvoLogix and applies only to the packaged recommendations. It does not apply to any custom recommendations added by users or admins outside of the packaged flow. These actions help users stay focused and avoid repeated prompts once a recommendation has been acknowledged or deemed unnecessary.

List of Next Best Actions Provided Within Matter Management

Expand or collapse content 1. Run a Conflict Check on New Matters

For newly created matters where a conflict check has not been completed, the system will recommend running one. This helps identify potential conflicts early in the matter lifecycle.

Trigger Condition: This appears for a matter where the Stage is Investigation or empty, and there are zero Conflict Check records associated with it.

Expand or collapse content 2. Use the Multi-Timer Feature

If there are open or incomplete multi-timer records, the system will gently nudge the assigned timekeeper to finalize their entries. This recommendation helps keep time logs up to date and supports accurate billing.

Trigger Condition: This appears when a matter has one or more open Multi-Timer records that were created over 3 days ago.

Expand or collapse content 3. Track Time for Uploaded Documents

When documents are uploaded to a matter but not linked to any time entry, you will receive a reminder to log time if the activity warrants it. This helps ensure all document-related work is captured and billed appropriately.

Trigger Condition: This appears when there is at least one Document related to the matter where the Log Time is not enabled.

Expand or collapse content 4. Log Time for Completed Tasks or Events

If a task or event has been completed but doesn’t have a corresponding time entry, you will be prompted to log your time. This ensures all billable hours are accounted for.

Trigger Condition: This appears when there is at least one closed Task or at least one past Event related to the matter where the Log Time is not enabled.
