Edit an Existing iManage Workspace Configuration

The iManage Workspace Manager allows users to create or edit object-specific configurations. The workspace configuration binds one or more workspaces in iManage to records in Salesforce.

Select the Edit action button in the grid row for the workspace configuration that is to be edited.

  1. Select the Object to build a workspace configuration for.
  2. [Optional] Select a Record Type to apply the configuration only to those records with the selected record type.
  3. To be able to generate a workspace automatically or update workspace names, enable the Auto Create Workspace and Auto Update Workspace options, respectively.  If the connector component does not find a workspace using the configuration setup here, then a new workspace will be created for the record.

The Auto Create Workspace and Auto Update Workspace options require a flow that has been setup for the respective object of your workspace configuration. See the following articles for more details on how to setup the flows: Create Workspace Via Automation and Update Workspace Name Via Automation

  1. Select the Workspace Association By option to determine how each Salesforce record can be mapped automatically to a workspace within iManage Work. Available options are Workspace Name and Custom Profile
    1. Workspace Name - Associating a workspace using this option means that AdvoLogix will search and identify a related workspace(s) for any record by matching the Workspace Name based on the provided Workspace Naming Format's resolved value.
    2. Custom Profile - Associating a workspace using this option means that AdvoLogix will search and identify a related workspace(s) for any record by matching the Custom Profile value as indicated on the workspace configuration's workspace custom profile marked with Associate Workspace Using This Profile enabled.

  2. Select a Library to which this workspace configuration is going to be applied to.

  3. Select the default Workspace Security to apply security permissions whenever a workspace is generated using this configuration. Available options are inherit, private, public and view.

  4. [optional] Select a Workspace Template to apply a subfolder structure to for the newly generated workspace.

  5. Provide a Workspace Naming Format, which can include merge field syntax in the form of {{FieldName}} to generate a name for the workspace.
  1. Select the Folder Association By option to determine how each Salesforce record can be mapped automatically to a folder within the workspace. Available options are Folder Name and Custom Profile
    1. Folder Name - Associating a folder using this option means that AdvoLogix will search and identify a related folder(s) within the workspace (as defined under the Workspace Details section above) for any record by matching the Folder Name based on the provided Folder Path Format's resolved value.
    2. Custom Profile - Associating a folder using this option means that AdvoLogix will search and identify a related folder(s) within the workspace (as defined under the Workspace Details section above) for any record by matching the Custom Profile value as indicated on the workspace configuration's folder custom profile marked with the Associate Folder Using This Profile enabled.

  2. To be able to generate a folder automatically or update folder names, enable the Auto Create Folder and Auto Update Folder options, respectively.  If the connector component does not find a folder using the configuration setup here, then a new folder will be created for the record within the workspace found using the Workspace Details section above.

  3. Select the default Folder Security to apply security permissions whenever a folder is generated using this configuration. Available options are inherit, private, public and view.

  4. Provide a Folder Path Format, which can include merge field syntax in the form of {{FieldName}} to generate a name for the folder.

  5. Select the Save button to save the workspace configuration.

The Folder Path Format supports multi-level paths to subfolders within folders. You can provide a path to a subfolder using syntax similar to <Folder A>/<Folder B>/<Folder C>, where the last folder within the path will be treated as the base folder, to be associated or generated for the Salesforce record.
