By default, private Matters are only accessible by the Matter owner and those individuals above them in the owner's role hierarchy. AdvoLogix Participant-based Matter community sharing helps simplify the process of sharing Matters based on the participation of a Community User for a given Matter.
Matter Sharing Permissions Propagation
- A Matter can now be shared with a community from either the Account, Contact or Participant level.
- A community user must be added to a Matter as a Participant before the Matter can be shared with the community.
With these different levels of permissions we can fine tune Matter visibility in the community.
Modify the Community Access to a Matter
The Community Permission field specifies whether the access is Read, Write, or No Access for the related Matter. To change permissions, this field will need be added to the respective page layout(s).
Permissions Flow
Matters sharing permission with communities can be changed at three different levels (Account, Contact or Participant). Here is how we control what permission is applied for a particular Matter when Community Permission is updated from the:
- Account record: All of the Matters where the Account is a Participant on are shared with communities using the permission set here.
- Contact record: The Matters where the Contact is a Participant on are shared with communities using the permission set here. Community permission provided on the Account will be overridden by this permission.
- Participant record: The associated Matter is shared with communities using the permission set here. Community permission provided on the Account or Contact will be overridden by this permission.
Consider we have the following set of Matters in an organization:
-
Matter P
- Participant (Account A)
- Participant (Contact X)
-
Matter Q
- Participant (Contact X)
-
Matter R
- Participant (Account A)
If we change the Community Permission on Account A to Edit Access, then:
- Matter P & Matter R will be shared with communities with Edit Access.
If we change the Community Permission on Contact X to Read Access, then:
-
Matter P & Matter Q will be shared with communities with Read Access.
Do note that Matter P was previously shared using Edit Access, which has now been overridden to Read Access from the permission set on this Contact record now.
If we change the Community Permission at the Participant record of Matter P from Read Access to No Access, then:
- Matter P will now be removed from the community and the permissions set from the Account or Contact will be overridden.
