Set Up Billing Guidelines for Legal Service Provider Experience

AdvoLogix Spend Management provides an integrated experience for legal service providers and provides baseline support with capabilities to import the LEDES 1998B e-Billing files as invoices and ability to review and with real-time status notifications for the submitted invoices.

Our integrated solution includes, ability to setup a digital experience site for your legal service providers which includes a fully customizable user experience that allows uploading there e-billing files as invoices and ability to review and submit them to you in-house counsels.

Billing Guidelines that applies to your outside counsel's matters can be setup to show within the legal service provider experience, so that they can align there invoices accordingly.

How To Upload Billing Guidelines for Outside Counsels

Billing Guidelines are available for outside counsels when the document is uploaded as Salesforce File to the respective accounts within your organization. 

Follow these steps to make the Billing Guidelines available within outside counsel communities:

Step 1: Upload Billing Guidelines Document

Go to the Account record of your outside counsel contacts, and from the Files related list of the account record, upload the Billing Guidelines document.

Step 2: Enable Billing Guidelines with Outside Counsels

After successful upload of the document, go to the file detail view and enable the document to be accessed to the outside counsels.

  1. File Privacy on Records field should be set to Visible to Anyone With Record Access.
    (Follow these steps to make sure this option is available for Salesforce Files)
  2. Type field should be set to Billing Guidelines.
    (Follow these steps to make sure Billing Guidelines is an available value in the Type dropdown)
  3. Click the Share button to open sharing settings for the file.

Step 3: Share Billing Guidelines with Outside Counsels

Within the Share dialog, make sure the file is enabled to be shared with the outside counsels associated with the account record.

  1. Click and expand Who Can Access view.
  2. Toggle Customer Access to Enabled for the Account records this Billing Guidelines document should be shared with.
  3. Click Done to save & close the sharing dialog.

How to enable Salesforce Files sharing access with Record Access?
  1. Go to Salesforce Setup.
  2. Search for Salesforce Files, and click open General Settings.
  3. Click Edit and make sure Set file access to Set by Record for files attached to records is Enabled.
How to add Billing Guidelines option in Type dropdown?
  1. Go to Salesforce Setup.
  2. Open Object Manager, and find and open Content Version object.
  3. From the sidebar, open Fields & Relationships.
  4. Find and open Type (advpm__Type__c) picklist field.
  5. Within the Type field detail, scroll down to Values related list.
  6. If Billing Guidelines, is not an available option within the list of values then click New button and enter Billing Guidelines as new value and Save.
