Upload Invoice⚡Component

In Spend Management, an invoice is usually generated by an outside counsel. CaseCloud provides an easy-to-use Upload Invoice component.

How do I add the component to a Lightning Page?

1. Deployment Use Cases

The Upload Invoice component is designed for use within Lightning apps or home pages. The primary use case for the component is within the context of a community setup for outside counsels; however, the component may also be deployed and used for in-house counsels as well.

 In addition, this component can be used within the utility bar of your Lightning apps.

2. Deployment Options

Allow collapsible display: [optional] Display the component within a collapsible section.

How do I use the Upload Invoice⚡Component?

The Upload Invoice component lets you import one or more invoices directly by uploading files from your local file system.

Supported Invoice Formats

The component supports PDF and LEDES invoice formats. The formats available to you depend on what your administrator has enabled in Spend Management Setup Options.

PDF upload capability is part of CaseCloud's special service program. For more details, please contact your CaseCloud account executive.

Uploading an Invoice

Expand or collapse content Step 1: Select a Format

Choose the format that matches your invoice file:

  • PDF - Upload a PDF invoice for automated processing. Not all PDF layouts are supported; you will receive an alert if your file's format is not recognized.
  • LEDES 1998B / 1998BI / 1998BI V5 - Upload a LEDES-formatted .txt file. Select the version that matches your file.

Click the upload area and select your file(s). You can upload up to 10 files at a time. Once selected, your files are uploaded to Salesforce immediately and a progress dialog opens automatically.

Maximum file size supported for import is 3.5MB for LEDES files and 7MB for PDF invoices.

Expand or collapse content Step 3: Review Files Ready to Import

The dialog lists every file that was detected. Files that are ready to import show a Ready badge.

  • PDF - Review the file names, then click Import. You will be asked whether you want to process your invoices in the background or stay and monitor progress on screen.
  • LEDES - Only files that pass format validation will show a Ready badge. Files that fail will not be imported. Review the list, then click Submit to proceed with all Ready files.

Note: This format validation is a basic structural check for LEDES files. It is not related to Invoice Rule based validation, which performs more granular validation.

Expand or collapse content Step 4: Import Processing

The component processes each file and shows a progress indicator per file.

  • PDF - Once you click Import, you will be prompted to choose how to process your files. If you select No, each file is sent to the the ARIES™ Non-LEDES Invoice Capture for Agentforce and processed one by one on screen. A progress indicator updates as each file completes. If you select Yes, all files are queued for background processing immediately and the dialog closes — see the note below.
  • LEDES - Once you click Submit, each validated file is imported and invoice records are created in Salesforce.

Want to keep working while files process? (applicable to PDF files processing only)

Click the Continue in Background button to close the dialog. The current file will finish, and the remaining files will continue processing. You will receive:

  • A notification in the Salesforce bell (top-right) when processing completes with success or failure details.
  • An email summary listing successfully imported invoices (with record links) and any that failed along with a csv file attached containing invoice and success or error details.

Once all files have finished, click Done to close the dialog.
